Over 30% of all work in organizations is duplicative based on McKinsey & Company’s State of Organizations report. Here’s how to streamline duplicated activities and work:
// Task based approach
– Map out your value chain and business processes
– Then map your Level 1, Level 2, and Level 3 activities under each process
– Identify where there is task overlap (i.e., two people or teams doing the same thing)
– Recreate your operating model and activity map to streamline duplication
// Role based approach
– Identify your roles—think one layer of abstraction above positions (for example, Software Engineer vs. Software Engineer, Canada)
– Map all your positions into these roles to help categorize
– Bonus: Add as much position-level data as you can (e.g., job description, skill sets, responsibilities, etc.)
– Identify positions in the same role that have overlap based on these attributes (e.g., FP&A Analyst vs. Financial Planning Junior Analyst)
– Visualize all these duplicated positions on the org structure to see where they’re located.
– Identify if any positions can be eliminated or streamlined in a centralized shared service offering
– Model role / function consolidation scenarios
